ABSTRACT SUBMISSION GUIDELINES

Persons interested in submitting abstracts for consideration as oral or poster presentations for the conference A Multicultural Caribbean United Against HIV/AIDS may do so by completing the Abstract Submission Form in Spanish or English only.  In addition to completing the online form, or sending the printable version by mail, the Abstract Submission Form can be returned via fax to 1-301-628-3101. All oral presentations at the conference must be in one of the four conference languages (Spanish, French, Dutch, or English) and will be simultaneously translated into the additional languages. Poster presentations can be in any of the four conference languages. There will be no translation of poster presentations. 

The form must be received by the conference organizers by November 5, 2003. Notification of acceptance or rejection of submitted abstracts will be made by December 1, 2003.

The following guidelines must be observed in submitting an abstract. Abstracts not meeting these requirements will not be considered.

  1. All abstract proposals must be submitted on an official Abstract Submission Form. If you wish to include nonpresenting authors’ names for publication, please include this information on an attached separately. The minimum type size for the abstract and list of nonpresenting authors is 10 point. The form must be either mailed or faxed to the conference organizers as instructed on the form or submitted via the conference Web site.

  2. Because this is a research-focused conference, abstracts should demonstrate that the proposed session or poster presentation is research-based in either biomedical or behavioral science.

  3. Abstracts that present Caribbean HIV/AIDS perspectives in the form of well-documented case studies or significant field experiences with lessons learned will also be considered.

  4. To be considered for oral presentation in a concurrent session, abstract topics must correspond to an identified conference track and abstract category.

  5. All abstracts must discuss either (a) HIV/AIDS-related research conducted in the Caribbean region (especially countries for which English is not the primary language) or (b) how non-Caribbean results and lessons of the research are directly applicable to the Caribbean region.

  6. All Abstract Submission Forms must include the submitter’s signature (or electronic signature for those forms submitted online) certifying that the presenter has read and agrees to all stipulated conditions for the presentation, such as session presentation length and format and available audiovisual equipment.

Length of Presentation

All concurrent sessions at the conference will be 90 minutes in length. A minimum of 30 minutes within each session must be reserved for participant questions and discussion. The allowable length of specific presentations within a session will be determined by the conference organizers and is dependent on the number of presentations accepted for a specific session.

Equipment

Rooms for each concurrent session will be set up with a computer and LCD projector for Microsoft PowerPoint presentations. Oral session presenters will be required to present electronic copies of their PowerPoint presentations. Conference personnel will load presentations onto the computer before the session. Please note that it will not be possible to connect individual presenters’ personal laptop computers to the LCD projector in the session room. Slide and overhead projectors will not be provided.

Photocopying Materials

Presenters will be responsible for photocopying any handout materials for their presentations. We regret that the conference organizers will not be able to provide photocopying services for individual presenters.

Travel Costs

Potential presenters submitting an abstract but requiring support to attend the conference are encouraged to complete and submit a Scholarship Application.
